Job Title: Pastoral Associate of Liturgy
Full-time position
Hour per week: 32
Days in: Monday, Tuesday, Thursday, and Friday along with some weekends and evenings
Days off: Wednesday, Sunday, and some Saturdays
Reports to: Pastor

Position Overview:
The Pastoral Associate of Liturgy is responsible for facilitating weddings and funerals at Holy Apostles Catholic Church. This position requires sensitivity and discretion, strong organizational skills, the ability to prioritize tasks and projects, an attention to detail, and a warm and welcoming demeanor.

The Pastoral Associate of Liturgy is also responsible for providing pastoral care and spiritual support to anyone in need, as well as offer support to the clergy and staff.

The Pastoral Associate of Liturgy works closely with the clergy, all staff, volunteers, parishioners, visitors, and families during emotional life circumstances.

This position additionally schedules and coordinates events from outside sources who wish to use the Holy Apostles facility.
A degree in Catholic Theology is recommended but not required.

Key Duties and responsibilities:

Serve as a first point of contact for couples wishing to be married, convalidate, or renew their vows at Holy Apostles
o Prepare wedding contracts and collect payments
o Coordinate service and reception arrangements with clergy and families
o Assist couples with Pre-Cana/Marriage Prep/FOCCUS reports
o Prepare families for the Liturgy
o Train Readers of the Word for the Liturgy
o Schedule all services, including rehearsals and receptions on the parish facility calendar and on the priest calendar
o Notify Record Keeper to update the Sacramental Record book of Sacraments and Rites
o Assist at rehearsal
o Coordinate with CCW for receptions, if needed

Serve as a first point of contact for anyone seeking Funeral and Committal services
o Coordinate with clergy, funeral home, and musicians
o Coordinate service and reception arrangements with clergy and families
o Prepare families for the Liturgy
o Train Readers of the Word for the Liturgy
o Process all related paperwork
o Scheduling all services and receptions to the parish facility calendar and the priest calendar
o Notify Record Keeper to update the Sacramental Record book of Sacraments and Rites
o Coordinate with CCW for receptions, if needed

Coordinate and facilitate semi-annual Marriage Prep weekend
o Keep an ongoing list of who needs Marriage Preparation
o Coordinate a team of volunteers to speak at Marriage Prep weekend
o Schedule dates and reserve the facility
o Order materials, food, and decorations
o Collect fees
o Remain onsite during the entire Marriage Prep weekend

Set up outside events at the parish to ensure all paperwork, fees, and facility calendar scheduling are in place.
o May also require finding volunteers for setting up and tearing down of chairs and space, if needed
o Be available for open and lock-up, if needed

Work closely with St. Ignatius School on Liturgies for school Masses
o Help with semi-annual School penitential services

Help to coordinate Diocesan Communal Penitential Services during Lent and Advent

Arts and Environment:
o Manages the art and environment in the church as well as the outdoor potted plants
o Coordinate with plant company for Easter Lilies and Christmas Poinsettia orders
o Takes care of all decorations in the church: seasonal banners, Christmas trees, Creche, Altar of Repose, Flowers, etc.

Clergy Support Responsibilities (Monthly and As Needed)
o Set up and coordinate Communal Penitential Services and meals for visiting priests.
o Set up and coordinate West Central Deanery meetings/dinner.
o Set up monthly Holy Apostles Clergy meetings and twice-yearly dinners.
o Schedule, create agenda, and attend weekly staff meetings
o Provide support to the development functions of the church
o Other duties as assigned by the pastor

Additional duties
o Organize staff potlucks
o Coordinate staff Christmas party
o Manage staff schedule of Lock-up nights
