JOB OVERVIEW

The Front Office Representative/Receptionist provides front desk reception services for the CCI Smith Service Center in Boise.  Functions include managing and referring in-coming calls, in-person reception services for clients and guests, monitoring main lobby, assisting with client insurance processes, and other duties as assigned by the Office Manager.   

 

DUTIES AND RESPONSIBILITIES

  • Provision of basic reception services at CCI Smith Center front desk.

  • Answering and screening incoming calls; checking voice messages routinely.

  • Ensuring calls and messages are properly transferred to appropriate CCI staff and volunteers.

  • Receiving visitors at front desk by greeting, welcoming, directing, and announcing them appropriately.

  • As first point of contact for CCI, promoting a welcoming, professional, and customer-service oriented presence in all interactions with visitors and staff/volunteers.

  • Conduct intakes, both in person and on the phone, for prospective counseling clients.

  • Assisting with the maintenance of staff/volunteer schedules and coordinate these schedules appropriately with guests and incoming calls.

  • Providing clients with intake and information forms as well as agency policies and other documents as necessary.

  • Obtaining client insurance information and other related data as necessary.  Contact third party insurance plans to determine prior authorization requirements; determine copay/deductibles.

  • Collect and process client fee payments.

  • Coordinate with CCI accounting office to support clients and counseling staff and to assist with billing processes.

  • Manage and enter data in agency client database.

  • Assist with agency diaper and winter coat distribution program.

  • Provision of reception oriented clerical duties and other administrative support as needed.

  • Other duties as assigned by the Office Manager.

 

JOB QUALIFICATIONS

  • Proven experience (minimum 2 years) as a receptionist, front office representative, or similar role.

  • Experience working in a mental health or social service setting preferred.

  • Maintain confidentiality of information; display sound judgment in dress and general behavior. specifically, follow School dress code standard.

  • Prepare our students for winter and spring music concert

  • Prepare school choir to participate in the musical liturgy of school Mass

  • Teaches instrumental music, and general music courses as required to build a premier independent school performing arts program in the region.

  • Promotes the band program for the purpose of forming students holistically in a Catholic worldview, improving the quality of student performance outcomes, and encouraging maximizing their God-given talent

  • Monitors band services (e.g. evaluating programs and attendance, overseeing equipment procurement, staffing, etc.) for the purpose of ensuring that performance outcomes are achieved within budget, department, and school objectives

  • Prepares appropriate weekly lesson plans including instructional objectives, planned activities, spiritual integration, assessments and resources, incorporating classroom technology to enhance instruction

  • Promotes the Performing Arts program for the purpose of forming students holistically in the Catholic faith, improving the quality of student performance outcomes, and encouraging maximizing their God-given talent

  • Effectively utilizes basic elements of foundational music instruction including but not limited to presentation of content, questioning techniques, responding to learner input, and arrangement of learning activities

  • Perform other duties as assigned

  • Assists in the on-going curriculum revision process

  • Lead in the selection of music curriculum and materials

 

Basic Qualifications:

  • Working knowledge of and a strong commitment to the mission of fostering lay leadership in the Roman Catholic Church. If a baptized Catholic, must be a practicing Roman Catholic in full communion with the Church.

  • Excellent communications skills including written and oral, public speaking and presentation skills.

  • Excellent human relations and interpersonal skills; must be a self-starter and be well- organized; must be a team player.

  • Be available for evening and weekend work as necessary; have reliable transportation.

  • Be able to manage multiple tasks simultaneously.

  • Proficiency in the use of completer technology including word processing and the use of excel and related technology.

  • Ability to maintain confidentiality

  • Complete and pass a criminal history and background check

St. Joseph's Catholic School, Boise, ID

 

St. Joseph’s Catholic School is seeking a development and marketing director who is an energetic, enthusiastic faith filled individual. St. Joseph’s Catholic School is a K-8 school in the Diocese of Boise that serves as a ministry of St. John’s Catholic Community and is located in Boise, Idaho.

 

Primary Function: Under the direction of the school principal is responsible for supporting the development, marketing and fundraising efforts of St. Joseph’s Catholic School.

The new Director will demonstrate an appreciation and understanding of the culture, values and mission of St. Joseph’s Catholic School and will be responsible for the planning, facilitation and execution of all advancement activities including: annual giving, capital giving, major gifts, grant writing, alumni relations, prospect research and cultivation, special events and special projects. The job will also include marketing and communications responsibilities.

 

This is a .75 time paid position: Specific and flexible time will be required based on school calendar, Crab Feed and other major fund raising needs. The position will require work from home, at St.

Joseph’s Catholic School and other venues.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Recognize and support the Catholic Mission and Identity of the School by speaking and acting, consistent with the teaching of the Roman Catholic Church. The employee may not espouse any doctrine inconsistent with the teachings of the Roman Catholic Church.

  • Give evidence of living Gospel values by being an active member of a faith community and being open to the importance of a personal faith journey; strive to model the teaching of Jesus by attitude and example

  • Motivates and leads to meet and/or exceed fundraising and related goals, while interacting with parents, alumnae, faculty and friends of the school

  • Conduct St. Joseph’s School Tours as scheduled

 

Marketing:

  • Develops, coordinates and implements public relations strategies and initiatives

  • Create institutional brochures, weekly communication, goal-specific mailing pieces; creation and coordination of distribution for posters, flyers, banners and displays as needed

  • Manage all social media networks

  • Coordinates public relations, media relations, and communication activities for the school

  • uses social media channels to promote school fundraising activities and information

  • Works collaboratively with the principal to help draft and review presentation, talking points, articles, press releases, public statements, brochures, flyers, handouts, publications, media releases, press advisories and other communications to ensure accuracy and consistency

  • Creates and distributes marketing materials

 

Development:

  • Creates and implements a strategic fundraising and external relations initiative to bolster annual giving

       ensuring that campaign goals are reached

  • Ability to develop and oversee capital campaign as needed

  • Broaden donor base through increased prospect research, engagement, and networking with individuals, corporations and foundations

  • Secure major gifts

  • Responsible for identifying, cultivating and soliciting major donors to ensure campaign success, including creating a personal major gift portfolio and prospects

  • Identifies areas of growth with a strong focus on parent and alumnae giving

  • Oversees/manages St. Joseph’s Catholic School fundraising efforts in cooperation with the

       St. Joseph’s Parent Association – SJPA. These include but are not limited to – Fall Carnival, Uncorked, Crab Feed, etc.

The successful candidate must possess:

  • A depth of experience understanding the value of strategic donor screening, prospect identification, cultivation, solicitation and stewardship

  • A thorough knowledge of successful marketing strategies

  • High-level skills, emotional intelligence, and a sense of humor to lead a team of volunteers.

  • Superb written, verbal and electronic communication skills

  • A proven track record of securing and closing major gifts

  • The energy and aptitude to thrive in a busy, deadline-driven advancement/marketing arena

  • Solid technical skills, database management and experience

  • The successful candidate must be willing to attend numerous night and weekend activities and support the school’s major fund-raising efforts

  • She/he must be energized by the transformational power of philanthropy and willing to undertake bold initiatives
